Your accounting database is not "SQL Server" or "Access," but you can set up an automated data export that is placed on an externally accessible server.
Data synchronization via an automated import of files extracted from your accounting solution may be suitable for your situation.
These exported files must contain information about your customers, transactions, and contacts if you want to benefit from multi-contact management. It is recommended to set up an automatic process that regularly places these files on your FTP or SFTP server.
What data should I export from my accounting system?
You can refer to the Clearnox data model to see which fields are important for the proper functioning of your Clearnox solution.
Here are the files required for importing your data into Clearnox:
1. Customers: the list of your customers, their contact details, profiles, etc.
2. Transactions : the list of sales transactions for your customers, their amounts, due dates, etc.
3. Contacts (if multi-contact is enabled): the list of customer contacts, their details, departments, etc.
Files must be generated in CSV or XLSX format. However, for performance optimization, Clearnox recommends the CSV format.
How to set up FTP/SFTP server information in Clearnox?
Clearnox support configures your account with the following information you provide:
- Connection type: FTP or SFTP
- Host address: IP address or domain
- Port: for example, 22
- User: a user with read permissions for files on the server
- Password: the user's password
- Directory: where the files are located
- File names: names of the customer, transaction, and contact files (if multi-contact is enabled)
How to start a manual data synchronization?
Before the first synchronization, the exported files must be provided to Clearnox support, who will validate them and configure your account.
From the Clearnox homepage, in the side menu, you can click the "Synchronize" button.
Congratulations, your data has now been imported into your Clearnox solution! You can start using your tool immediately.
